Planning a journey begins with a conversation. This notice explains what information you share with Wellington & Grant, why it is used and how to contact us about it.

Who we are

Wellington & Grant is responsible for the personal information handled for enquiries through this public website and our journey questionnaire. In this notice, “we”, “us” and “our” refer to that business.

This notice covers both enquiry forms and correspondence about your plans. If a later stage of arranging travel requires additional information or a separate service, we will explain the relevant requirements at that stage.

Information we collect

  • Contact details: your name, email address and optional telephone number.
  • Travel plans: your journey of interest, preferred dates, number of travellers, indicative budget and the message you choose to send.
  • Correspondence: your request to be contacted and information you provide when discussing your plans with us.
  • Technical information: our hosting and form service providers may process information such as IP address, browser details, referring page, access times and security signals to deliver and protect their services.

Please do not include passport copies, payment card details, medical records or other sensitive personal information in the enquiry form. You do not need to name other travellers to make an initial enquiry.

How we use your information

We use your information to respond to your enquiry, discuss suitable journeys, prepare a proposal, maintain relevant correspondence and protect our website against spam or misuse. Required form fields help us understand and answer your request; you may leave optional fields blank.

The journey questionnaire also collects your selected interests, travel style, party details and preferred duration. We use those preferences and your indicative budget to help organise enquiries for personal follow-up. Campaign information, such as the source or advertisement that led you to the questionnaire, helps us understand how guests find us. A questionnaire score does not confirm a booking or determine a final price.

Where data protection law requires a legal basis, we rely on taking steps at your request before entering a contract, our legitimate interests in responding to enquiries and maintaining a secure service, and compliance with applicable legal obligations. Where processing depends on your consent, you may withdraw it.

The contact checkbox relates to your travel enquiry. It does not subscribe you to a marketing mailing list. We do not sell or rent your personal information.

Enquiry delivery and service providers

Our contact form and journey questionnaire use Formspree to receive and store your submission and deliver it to our enquiry inbox. When you submit either form, your entered details are sent directly to Formspree. Formspree also processes technical information for service operation and abuse prevention. Read Formspree’s Privacy Policy for more about its practices.

Website hosting, security and email providers also process information needed to provide their services. If you ask us to develop travel arrangements, relevant information may need to be shared with accommodation, transport or experience providers involved in those arrangements. We may also disclose information where required by law or necessary to establish or protect legal rights.

These providers may process information outside your country, including in the United States. Applicable privacy protections can differ between countries. Any international transfer must meet the requirements of the data protection law that applies to it.

Cookies and browser data

When configured, our public website and journey questionnaire use Google Analytics 4 to understand page visits, traffic sources and broad actions such as starting a questionnaire or successfully sending an enquiry. Google Analytics may use cookies and process browser and device information for measurement. We do not send names, email addresses, telephone numbers or enquiry answers as analytics events. Learn more in Google’s Privacy Policy.

We do not currently use advertising pixels. We do not save your enquiry answers or contact details in your browser’s local storage. If a submission fails, the form keeps your entered details on the open page so you can try again.

When you submit an enquiry, the form service receives basic session and browser signals used to help identify automated submissions. Hosting and security services may also use essential technical mechanisms to keep the site available. You can manage cookies and site data in your browser settings, although blocking essential functions may affect form delivery.

External websites linked from these pages have their own privacy and cookie practices.

Retention and security

We retain personal information for as long as reasonably needed to handle your enquiry, support any resulting travel arrangements, resolve disputes and meet applicable record-keeping obligations. The appropriate period depends on the nature of the correspondence and whether you proceed with a journey. Information no longer needed for those purposes should be deleted or anonymised.

We use appropriate access controls and service providers to help protect personal information. No method of transmission or storage is completely secure. Please contact us if you believe information you have shared with us has been compromised.

Your choices and rights

You may ask us to correct your details, stop contacting you about an enquiry or delete information that is no longer needed. Depending on the law that applies to you, you may also have rights to access or receive a copy of your information, restrict or object to processing, or request portability. Some information may need to be retained to meet legal obligations.

To make a request, email hello@wellingtongrant.com or use our contact form. We may need to verify your identity before acting on a request. Where applicable, you may also raise a concern with your local data protection authority.

Children and updates to this notice

Our enquiry service is intended for adults arranging travel. We do not ask children to submit personal information directly. If a child has provided information through the form, please contact us so we can address it.

We may update this notice when the website or our information practices change. The date at the top of this page shows when it was last revised.
